Why leading AI in project teams matters

Most project teams now use AI, but few have it under control. In APM’s 2025 survey of 1,000 UK project professionals, 70% said their organisation already uses AI. Yet in APM’s 2026 research, only 27% said AI is fully embedded in their project workflows.

The barriers are leadership problems, not technical ones. Among teams using AI, 44% cite security and data privacy, 42% struggle to integrate it into workflows and 41% worry about inaccurate outputs. APM’s research also places ethical decision-making, professional judgement and data literacy among the most important future skills for project managers.

This certificate gives you the practical tools to close that gap: governance proportionate to the risk, information that is fit for AI, outputs you can stand behind, and adoption that improves outcomes rather than just saving time.

How this course relates to the APM Certificate in AI Awareness for Project Professionals

APM has designed two AI certificates that work as a pathway, and we run both as one-day courses. The APM Certificate in AI Awareness for Project Professionals teaches you to use AI safely in your own work. The APM Certificate in Working with AI in Project Teams teaches you to lead, govern and improve how a whole team uses it.

Which course should I take first?

    • Start with AI Awareness if you are new to using AI at work, unsure what information you can share with AI tools, or work in a project support role.
    • Go straight to Working with AI in Project Teams if you are an experienced project professional who already uses AI and now needs to set rules, assure outputs and lead adoption across a team. The AI Awareness certificate is not a formal prerequisite.
    • Take both if you are leading AI adoption and want a complete grounding, or if you want your whole team working from the same foundations. [Optional offer: book both courses together as a two-day pathway – Contact us for details.

In AI Awareness you learn to…

    • Choose when AI, automation or a person should do a task
    • Recognise information you must not share with AI
    • Use a simple prompt structure
    • Check an AI output before you use it
    • Follow your organisation’s AI controls
    • Plan your own AI learning

In Working with AI in Project Teams you learn to …

    • Assess AI opportunities, score use cases and allocate work across your team
    • Assess data readiness, provenance and permitted use, and set data controls for the team
    • Write reusable briefs and prompt templates for the team, and refine and challenge outputs
    • Set assurance levels, validate against evidence and decide to accept, amend, reject or refer
    • Define proportionate governance, decision rights, records and pause or stop criteria
    • Lead role-inclusive adoption and show whether AI is improving outcomes

For organisations, a common pattern is AI Awareness for the wider project team and Working with AI in Project Teams for project managers and PMO leads, so everyone shares a common language and the leaders own the controls.

Who is “Working with AI in Project Teams” course for?

This practitioner course is for experienced project professionals who are responsible for how AI is used in their team, not just their own work. It is ideal if you are a:

    • Project or senior project manager
    • Programme manager
    • PMO manager or PMO lead
    • Head of delivery or project controls lead
    • Sponsor or senior responsible owner who signs off AI-supported work

It suits sectors where governance matters most: construction, engineering, energy and utilities, transport, defence, financial services and central and local government. It also counts towards CPD if you are working towards Chartered Project Professional (ChPP) status.

    What you will learn?

The Working with AI in Project Teams course follows the APM syllabus in six modules. You work through a realistic case study, a depot electrification project with multiple suppliers, and apply each module to a real AI use case from your own project.

AI as a project team contributor

Treat AI as a contributor you assign work to, not an accountable team member. Assess whether AI suits a project need, select strong use cases, allocate tasks between people, AI and existing systems, and set the right level of supervision.

    Data readiness and information quality

Judge whether project information is accurate, complete and current enough for AI. Check where it came from and whether you may use it, prepare it properly, and recognise information that must never go into an AI system.

    Applying AI across project activities

Apply AI across the project life cycle, from business cases and planning to RAID management, forecasting, reporting and handover. Write effective briefs, refine and challenge outputs, and know where professional judgement and approval authority must take precedence.

    Human-AI collaboration and output evaluation

Evaluate AI outputs for relevance and reliability, spot hallucinations, bias and automation bias, validate against real project evidence, communicate uncertainty honestly, and make justified decisions to accept, amend, reject or refer.

Governance, risk and assurance for AI-enabled teamwork

Apply proportionate governance, define decision rights and records, identify security, legal, supplier and ethical risks including shadow AI, and agree when AI use should pause or stop.

Leading and improving AI-enabled project delivery

Plan adoption that includes everyone in the team, measure whether AI is improving outcomes and decisions rather than just saving time, and improve your controls from evidence.

    What you leave with

Everything you produce on the course is built around one real AI use case from your own project, so you leave ready to act:

    • An AI opportunity assessment for your use case
    • A data readiness assessment, including a “do not use” list for your project
    • A reusable prompt template and starter prompt library for your team
    • An output assurance checklist covering accuracy, bias, sources and data protection
    • A one-page team AI governance charter, ready to agree with your sponsor
    • An AI adoption and benefits plan with measures your sponsor will recognise
    • A personal AI capability and CPD plan
    • The APM Certificate in Working with AI in Project Teams when you pass the exam

Our aim: one measurable AI use case live, with its governance charter signed off, within 30 days of the course.

    How the course runs

A focused, tutor-led day built on peer discussion, real scenarios and frameworks you can take straight into a steering group. There is little time spent on basics: the day assumes you already know how projects are governed and delivered.

    • Live online: interactive sessions in Microsoft Teams, with breakout discussions and hands-on exercises.
    • In-house: for your project managers and PMO, built around your organisation’s AI policy, approved tools such as Microsoft Copilot, and your sector.

You receive detailed learner notes, a delegate workbook with templates for every module, a starter prompt library and practice questions in the APM exam style.

    The APM exam

You sit the exam online on APM’s Surpass platform, which also hosts the APM PFQ and PMQ exams.

    • 45 minutes
    • 20 multiple-choice questions, including short scenarios
    • Pass mark 75% (15 out of 20)
    • You sit the exam online when you’re ready

You see an indication of your result straight away. APM confirms it by email within two weeks and sends your PDF certificate and Credly digital badge if you pass. Reasonable adjustments are available: tell us when you book and we will arrange them with APM.
